With touches of technology, entertainment, innovation, and opportunities to sweat and serve, Rotacon 2018 is a district conference designed to engage Rotarians, their guests, and familes for a weekend full of inspirational stories, entertaining sessions, and educational breakouts. Enjoy time with your fellow club members and get to know 1,000 Rotarians and their guests from all over District 6900 in a relaxing and entertaining environment that is Sandestin Golf & Beach Resort.

If you've been to district conference before, you'll notice a few things different at Rotacon 2018. Opportunities to learn in breakout session format about compelling Rotary programs as well as engaging lifestyle learning sessions have been added. General sessions will be designed to take place within 90 minutes so that more time can be dedicated to enjoying time with fellow Rotarians, family, and friends. And perhaps the biggest difference will be that celebration of club achievements will take the form of an Oscars-style service award night in lieu of our traditional club achievement awards which are being moved out of the district conference program to a separate celebration later in the Rotary year.

If you've never been to a district conference, you'll find that Rotacon 2018 is designed with the average Rotarian and guest in mind.

Saturday afternoon - Rotacon Casual - ENJOY THE BEACH! Or if you'd like to stay in indoors, enjoy a lifestyle learning session or even a live painting session for all to view by the top portrait artist in the world, Ross Rossin!

  • 12:30 - 3:30 pm - take a short excursion to Seaside for a lunch (on your own) and enjoy a walking tour. Separate registration and fee required. Visit the Adventure tab for contact information, transportation details, and other important information.
  • 1:30 pm - explore the back waters of South Walton on a fan boat ride! You must arrange for your own transportation and arrive at the launch site before 1:30. Visit the Adventure tab for contact information, transportation details, and other important information.
  • 1:00 - 3:30 pm - watch Ross Rossin in action as he transforms a blank canvas into a masterpiece. And the painting he produces will be auctioned off at the end of the Rotacon Academy Service Awards!
  • 1:00 - 2:30 - join the "Bourbon Bash" in the Friendship Lounge to sample Georgia bourbons. Free to registered attendees on a first come, first served basis. Donations to support the Coins for Alzheimer's Research Trust (CART) are encouraged.

Saturday reception for District-Governor Elect Court Dowis 4:00 - 5:15 pm - celebrate at the lower level and veranda of the Baytown Conference Center before the Rotacon Academy Service Awards and show your support for DGE Court.

Saturday evening 5:15 - 7:00 pm - Rotacon Academy Service Awards - General Session #3 - start the evening by meeting the 2018-19 District Governor, Court Dowis, and his leadership team followed by celebration of an incredible year of service and Rotarian sweat in an Oscars-style awards presentation for Best Community Project and Best International Project in each of our club categories. Clubs can express their Hollywood personalities by selecting a favorite movie and asking all participants from their clubs to dress in the style of that movie. The program will wrap up by 7:00 p.m. to allow attendees time to enjoy dinner with their clubs, family, or friends.

Hospitality Suites and Friendship Lounge

One of the most popular aspects of district conference is the Hospitality Suite. A true Rotary tradition, much of the fellowship and magic of a district conference takes place in the Hospitality Suite where people gather to sample food and beverages in a friendly and festive environment.

Sandestin affords an ideal setup for Hospitality Suites where a block of rooms can be assembled all in one general location in the Grand Sandestin. All of our hospitality suites will be located on the third floor of the Grand Sandestin. This year a new district-wide Hospitality Suite will be introduced called the Friendship Lounge. Located in the same area with club Hospitality Suites, the Friendship Lounge will be a place for all conference attendees, especially those that don’t have a Hospitality Suite home, to gather and celebrate. Clubs that would like to participate in hosting the Friendship Lounge will have the option do so for as little as $250. House of Friendship 2.0

The House of Friendship is a well-known part of district conference because it highlights the magnificent work performed by clubs over the Rotary year. At Rotacon 2018, clubs will not be asked to develop scrapbooks as part of any judging or awards process, but clubs who are excited to share their club’s good work will be able to do so by submitting a short video (3 minutes max) which will be played on a district-provided display in the Magnolia Foyer (main registration area).

The Links Golf Club

SEASIDE Walking Tour (preregistration required)

SEASIDE®, built on 80 acres on Florida’s Gulf Coast, is located on South Walton County’s Hwy. 30-A, between Panama City Beach and Destin. Acclaimed world-wide as one of the iconic examples of New Urbanism, SEASIDE® offers a thriving town center with shopping and dining, all within walkable distance to homes, cottages and offices. Consisting of more than 300 homes, many of them vacation rentals, the community offers more than 12 restaurants and eateries, and 41 shops and galleries.

At this year’s District Conference, the Saturday evening general session - the Rotacon Academy Service Awards - will be solely focused on recognizing our clubs’ outstanding service projects in an Oscars-style format. The goal is to celebrate Rotary and the good Rotarians do in the world – to celebrate ROTARY: MAKING A DIFFERENCE. And to make it fun, each club is asked to choose a favorite movie and have club members dress up in the style of the move.

Each club will have the opportunity to submit their two best projects for consideration. If projects are shared between clubs, then the lead club will prepare the submission. Now is the time to capture all of the awesome projects you do throughout the year in pictures and videos!

Submit Project for Service Oscars

Project submissions will be due by March 15, 2018 through the District website, and should be described in 250 words or less but may be accompanied by photos and video. After an initial round of judging by Assistant Governors to determine award nominees, all Rotarians throughout the District will have the opportunity to vote for their favorite project – because of its impact, uniqueness, scope, innovativeness, the needs it met or because it was so memorable – between April 1 and April 21 through the District website. And then, at District Conference on the evening of Saturday, April 28th, each nominee will be highlighted and your favorite projects will be announced. So let the projects begin and best wishes for great success on everything you do, great or small, that makes this world a better place - that makes a difference!

  • Digital scrapbooks – in lieu of a physical scrapbook, clubs should prepare a short video (3 minutes max) to highlight the club's service, fellowship, and anything exciting from the 2017-18 Rotary year.

  • Service Oscars video – clubs do NOT need to prepare a video for the Service Oscars, but the do need to submit pictures and unedited video along with the project submission on the district website. The district conference team will take care of editing and preparing all of the videos needed for the Service Oscars.

Where will conference activities be held?

When you enter the Sandestin property, proceed to The Grand Sandestin and Baytowne Conference Center. Rotacon 2018 registration will take place in the Baytowne Conference Center.

What is the route for the 5k run/walk?

The 5k route is a basically one loop around Baytowne Ave (on the sidewalk) starting and stopping just outside the front door of the Grand Sandestin.

How far is it from the conference center area to all of the shops, restaurants, and bars?

It's about 200 steps from the conference center to Baytowne Wharf.

  • When you arrive at Sandestin, you will check in at either the Welcome Center or Grand Sandestin depending on where your room is located. See the attached guide for more information.
  • Registration for all events will be at the Baytowne Conference Center located adjacent to the Grand Sandestin. Hours of operation are:
    • Thursday 3:00 - 5:00 pm
    • Friday 10:00 am - 4:00 pm
    • Saturday 8:00 am - 2:00 pm
  • Attire for all events is business beach casual. Many folks will be wearing shorts and polos, and some will wear a coat, and very few might wear a tie. It is suggested that you don’t wear or anything too casual, but because it's a beach resort, beach-style wear is certainly appropriate.
  • Please remind your members to wear their badges at all events. Credentials are available only to paid registrants and required to enter all conference programs.
  • Door prizes will be provided at each general session. You must be there to win. Tickets will be distributed as you enter the ballroom and a single winner will be chosen at the end of the session. Awards are:
    • Friday night - $125 Sandestin Gift Card
    • Saturday morning – 55” LG TV
    • Saturday evening – Taylor Swift concert tickets for two on Saturday, August 11th in Atlanta
    • Sunday morning – 55” LG TV
  • Attendees will be able to visit club-sponsored hospitality suites located on the 3rd floor of the Grand Sandestin on Friday and Saturday. Typically, these are open in the evenings, but times may vary. Please remember that other guests are staying in the Grand Sandestin.
  • The Friendship Lounge, a new opportunity for hospitality, will be available on the 3rd floor of the Grand Sandestin. Various events will be held in the Lounge on a first-come, first-served basis. The Lounge has been sponsored by several clubs. Refer to the end of the package for a complete overview.
  • We will have a social media scavenger hunt challenge. Check the registration desk for more details. Winner of the challenge will receive an iPad Mini 4.
  • This year, in lieu of a “House of Friendship” there will be a group of Friendship Displays focused on large district or regional programs located Magnolia foyer. Please take time to visit the booths and learn more about these exciting programs.
  • If you have a digital scrapbook (a 2-3 minute video or picture slide show), you can upload it athttp://bit.ly/RotaconYearSummaryVideosThis will be displayed on a TV in the Magnolia foyer.
  • A Rotary merchandise and materials vendor, National Awards 4U, will be set up in the Magnolia foyer. Stop by to purchase the latest gear and attire.
  • Several events will be located on the 2nd floor (Azalea level) of the Baytown Conference Center, including:
    • Friday 12:30 pm – lunch
    • Friday 1:30 – 3:30 pm Rotacon You education and learning sessions
    • Saturday 8:00 am – breakfast
    • Saturday 8:00 am – Rise Against Hunger service event
  • Thursday night’s Rotacon Geek Night will be at the Baytowne Marina which has a small beach area. This is an outdoor event, weather pending.
  • Friday night’s reception is in honor of all the Rotary Clubs in District 6900 and is hosted by DG Alec Smythe.It’s bowtie night, so wear your favorite (or most fun) bowtie.
  • There will be a variety of excursions including a sight-seeing trip to Seaside and a fanboat tour available on Saturday afternoon (for an additional fee). Visit the registration desk for more information.
  • On Saturday evening at the end of the Rotacon Academy Service Awards, attendees will have the unique opportunity to bid on a painting by world-renowned portrait artist Ross Rossin. ALL PROCEEDS FROM THE AUCTION WILL DONATED TO SUPPORT POLIOPLUS! Rossin will actually paint the work that will be auctioned on Saturday afternoon in the Magnolia ballroom. Feel free to stop in and watch a master artist in action and, at the completion of the painting (around 2:30 pm), hear his inspiring personal Rotary story.
  • Saturday night’s reception is in honor of the 2018-19 leadership team and is hosted by DGE Court Dowis. Come out to show your support for next year’s leaders.
  • Saturday night is Hollywood theme night. All attendees should wear a costume or attire in the style of the movie that your club chooses. We will have a photo station with a photographer so that you can capture a club photo.
  • If you have a deceased member from your club since our last conference and you have not sent their name and a picture to Jim Coleman at Jim.Coleman@convergint.com by Friday, April 27th so that we can recognize them during our Sunday morning session.
